Why every landlord needs a rental move-in inspection checklist

The security deposit is where landlord–tenant relationships go to die. When a tenant moves out and you deduct for a cracked tile or a stained carpet, the only question that matters is: can you prove it wasn't like that at move-in? A signed move-in checklist — completed room by room, with both parties present — is that proof. Without it, a deposit dispute becomes your word against theirs, and in small-claims court the tie usually goes to the tenant.

Several states don't leave it optional. Arizona, Georgia, Kansas, Kentucky, Maryland, Massachusetts, Michigan, Montana, Nevada, North Dakota, Virginia, and Washington (among others) require some form of written condition report or itemized inventory when a deposit is collected. Get the specifics from your state statute — but the practical rule everywhere is the same: do the walkthrough, write it down, take photos, get signatures.

How to run the move-in walkthrough

  1. Do it together, before handing over keys — or within the first couple of days at the latest. The closer to day zero, the harder it is to argue damage happened before the tenancy.
  2. Go room by room, item by item.For each item, mark Good, Fair, or Poor. “Fair” and “Poor” must come with a note — “scuff marks on wall behind door”, “chip in bathtub enamel, 2 inches”. Vague notes are worth almost nothing later.
  3. Photograph everything you note— and check the “Photo?” box so you know coverage is complete. Wide shot of the room plus close-ups of any defect. Phone timestamps are your friend.
  4. Both parties sign and date the last page, and each keeps a copy (a phone scan sent by email works and creates a delivery record).
  5. File it with the lease.You'll need it again at move-out, when you compare condition line by line before touching the deposit.

What to look for, room by room

  • Kitchen: run every appliance — burners, oven, fridge and freezer temps, dishwasher cycle, disposal. Check under the sink for leaks and water stains, and open every cabinet.
  • Bathrooms: flush toilets, run hot water, look for grout and caulk gaps, check the exhaust fan, and inspect tub/shower enamel for chips.
  • Bedrooms & living areas: test every window (opens, locks, screen intact), every outlet, closet doors on their tracks, and note carpet or floor wear precisely — flooring is the #1 deposit fight.
  • Doors & locks: every exterior door locks smoothly, every key works, deadbolts throw fully. Note how many keys/fobs you handed over.
  • Exterior:siding, gutters, railings, walkways, and any tenant- maintained areas (yard, patio). Photograph the general state so “the fence was already broken” is settled in 10 seconds.

Move-in checklist mistakes that cost landlords money

Doing it alone

A checklist only the landlord filled out is evidence; a checklist both parties signed is close to a settled fact. Always walk through together when possible.

Marking everything “Good” to save time

A checklist with 40 “Good” checkmarks and zero notes looks like nobody actually inspected. Real units have real wear — recording it honestly is what makes the document credible when you need it.

No photos

“Fair — some wear” is arguable. A dated photo of that exact spot is not. That's why this template puts a photo checkbox on every single line.

Losing the document

The checklist earns its keep 12–36 months later, at move-out. Scan the signed copy the same day and store it with the lease and the photos.

Is a move-in inspection checklist legally required?

In a number of states, yes — typically tied to collecting a security deposit. Even where it isn't required, it's the best evidence you can have in a deposit dispute. Check your state's landlord-tenant statute for the exact requirement and any deadlines.

What if the tenant refuses to sign?

Complete the checklist anyway, note the refusal on the signature line, date it, and deliver a copy to the tenant by email or certified mail. Your dated photos plus the delivery record still carry substantial weight.

Can I use this same checklist at move-out?

Yes — print a fresh copy with the same rooms and walk the unit again, comparing against the signed move-in copy line by line. Differences that go beyond normal wear and tear are what you can legitimately deduct for, itemized per your state's deposit rules.

Does the checklist replace photos or video?
